📨 Business Correspondence

Business Letters

A business letter is a formal written communication between organizations or between an organization and an individual. Despite the rise of digital communication, business letters remain important for official correspondence, legal documentation, and formal agreements. A standard business letter format includes: sender's address and date, recipient's address, subject line, salutation (Dear Mr./Ms.), body (introduction, main content, closing paragraph), complimentary close (Yours faithfully/sincerely), and signature with designation.

Common types of business letters in agriculture include: enquiry letters (requesting product/price information), order letters (placing purchase orders for inputs or machinery), complaint letters (addressing quality or delivery issues), adjustment letters (responding to complaints), bank correspondence (loan applications, guarantee letters), and government correspondence (applications for licences, subsidies, and scheme benefits).


Business Reports

A business report is a structured document that presents information, analysis, and recommendations on a specific business topic. Reports follow a standard structure: title page, executive summary, table of contents, introduction (background, scope, methodology), findings and analysis (with data, tables, and charts), conclusions, recommendations, and appendices. In agri-business, common reports include feasibility study reports, market survey reports, project progress reports, and annual performance reports. Reports should be objective, evidence-based, well-organized, and written in formal language.


Proposals

A business proposal is a persuasive document that offers a solution to a problem or a plan for a project, seeking approval or funding. Proposals can be solicited (in response to a request for proposals — RFP) or unsolicited (proactively submitted). A typical proposal includes: problem statement, proposed solution/approach, timeline, team qualifications, budget, and expected outcomes. Agri-entrepreneurs submit proposals for government schemes, CSR funding, incubator programmes, and partnerships with agri-companies.


Minutes of Meetings

Minutes are the official written record of discussions, decisions, and action items from a meeting. Effective minutes include: date, time, and venue; attendees and absentees; agenda items discussed; key points of discussion; decisions taken; action items with responsible persons and deadlines; and date of next meeting. Minutes should be factual, concise, and action-oriented rather than a verbatim transcript. For FPOs and cooperative societies, maintaining proper minutes is a legal requirement.


Memos

A memorandum (memo) is an internal business communication used for routine messages within an organization. Memos are typically brief, direct, and follow a standard format: To, From, Date, Subject, followed by the message body. They are used for policy announcements, meeting reminders, information sharing, and internal requests. In agricultural organizations, memos facilitate quick internal communication about operational matters.
